This includes; modernising and maintaining the highways, running the network and keeping traffic moving. Over recent years, investment in our highways has increased. Job Description

The role

We currently have an opportunity for a permanent Executive Assistant to join Highways England in the Birmingham offices. The purpose of this role is to provide flexible business support to directors in delivering business objectives. You will be primarily responsible for monitoring and managing email and diary appointments, official visits, providing briefing material and take minutes at meetings as required.

Day to day

  • Act as first point of contact for the Executive Director and manage their electronic communications, mail and incoming calls; prioritising and distributing these, drafting responses where appropriate and ensuring that appropriate, timely, follow up action is taken
  • Build strong working relationships with colleagues across Highways England and externally
  • Deliver packages of work on behalf of the Executive Director, preparing correspondence, presentations, documents and data analyses
  • Arrange meetings for which the Executive Director has responsibility, ensuring that consideration is given to the most effective and efficient use of time and cost
  • Attend meetings and produce accurate records as required
  • Develop and maintain the Executive Director’s filing system

About you

  • Experience in a personal secretary role
  • Experience of dealing with senior level personnel – both internal and external
  • Ability to work in a complex and fast paced environment
  • Good skills in relevant office software, such as Microsoft office word and excel
  • Strong interpersonal skills in dealing with all levels of management and different cultures
  • Ability to handle department and Company sensitive information with discretion to ensure confidentiality
